Inviting Your Team

Invite team members to your organization so they can help manage conversations, send campaigns, and respond to customers.

How to Invite a Team Member

  1. Go to Workspace → Team Members
  2. Click Invite Team Member
  3. Enter their email address
  4. Select their role from the dropdown:
    • Owner — Full control (including billing and organization settings)
    • Admin — Manage channels, campaigns, templates, agents, and team members
    • Member — View conversations, manage campaigns, import contacts
    • Agent — Access /inbox to reply to customers; manage own snippets only
  5. Click Send Invitation

The person will receive an email with a link to /invitations/{token}/accept. Invitations expire after 7 days.

Role Permissions

Owner

Owners have complete control of the organization:

  • Connect/disconnect channels
  • Manage team members and invite new ones
  • View and change organization settings and billing
  • Create and edit campaigns, broadcasts, and templates
  • Create and edit automations (flows)
  • Access the inbox and reply to conversations
  • View reports and usage metrics

Admin

Admins manage day-to-day operations:

  • Connect/disconnect channels
  • Invite team members (cannot change other admins/owners)
  • Create and manage campaigns, broadcasts, and templates
  • Create and manage automations (flows)
  • Create labels and assign agents
  • Access the inbox and reply to conversations
  • View reports and usage metrics

Member

Members handle customer interactions and marketing:

  • Cannot manage channels or team members
  • Can create and edit campaigns, broadcasts, and templates
  • Can create labels and manage conversation assignments
  • Access the inbox and reply to conversations
  • Cannot edit organization settings or view sensitive metrics

Agent

Agents focus solely on customer conversations:

  • Access /inbox to view and reply to messages
  • Cannot see broadcasts, campaigns, or admin pages
  • Can create and manage personal snippets (canned responses)
  • View assignments and handle conversations in their workload
  • Cannot manage team members, channels, or organization settings

What Happens After Invitation

For New Users

If the invited person doesn't have a Wallin account, they'll click the email link and see a registration screen. They create their account and are automatically added to your organization with the selected role.

For Existing Users

If they already have a Wallin account, they click the email link and are added to your organization. They may need to switch to your organization using the Organization Switcher in the sidebar.

Managing Team Members

Once someone joins your organization:

  1. Go to Workspace → Team Members
  2. Hover over a team member's row
  3. Click Edit Role to change their role
  4. Click Remove to revoke access

Multi-Organization Support

Users can belong to multiple organizations. They switch between them using the Organization Switcher at the top of the sidebar (under the logo).

Agents and the Inbox

Agents are redirected to the /inbox when they log in. The inbox shows:

  • Conversations assigned to them
  • Conversations they've claimed
  • Unassigned conversations (if they have permission)
  • Filters for channel, status, and labels
  • A comments queue for Instagram/Messenger post comments

Agents cannot access:

  • Broadcasts or campaign management
  • Template editing
  • Team member management
  • Organization settings

Supervisor Roles

Agents with supervisor permissions see an additional My Team link in their sidebar. Supervisors can view and manage agents on their team but still use the same inbox to reply to customers.
