Understanding Messaging Windows

Messaging windows determine when you can send messages to customers. This is especially important for WhatsApp, which has strict time limits to prevent spam.

What Is a Messaging Window?

A messaging window is the time period during which you're allowed to send free messages to a customer. After the window closes, you can only send messages using approved templates (and at a higher cost).

Windows vary by channel:

  • WhatsApp — 24 hours from the last customer message (strictly enforced)
  • Instagram DMs — No official limit (you can message anytime)
  • Messenger — No official limit (you can message anytime)

WhatsApp's 24-Hour Window

On WhatsApp, after a customer sends you a message, you have exactly 24 hours to reply freely. Here's how it works:

Example Timeline

  • 2:00 PM (Day 1) — Customer sends you a message
  • 2:01 PM - 2:00 PM (Day 2) — You can send free messages to this customer
  • 2:01 PM (Day 2) — Window closes; you can only send approved templates

After the window closes, you must use an approved template to message the customer again. This includes promotional messages, reminders, and follow-ups.

Window States in the Inbox

In your conversation list, each WhatsApp conversation has a window state badge showing:

Open (Green)

The messaging window is open and you can send free text messages. You have plenty of time.

Closing (Orange)

The messaging window is open but closing soon (within 60 minutes). The window closes at the timestamp shown. Plan your replies now or you'll need to use a template.

Closed (Gray)

The messaging window is closed. You can only send using approved templates. Any free-text message is rejected.

Closed - No Escape (Red)

The messaging window is closed and cannot be reopened. (This is rare but may occur after the customer blocks you or closes their chat.)

Reopening a Closed Window

If a window is closed but not permanently closed, you can reopen it by sending an approved message template. Here's how:

  1. Open the conversation in your inbox
  2. In the message composer, look for the template button (looks like a document icon)
  3. Select an approved template from your channel
  4. Click Send

Sending an approved template reopens the window for another 24 hours. You can then send free text messages again.

Common Scenarios

Scenario 1: Proactive Outreach

You want to message a customer without waiting for them to message first.

  • WhatsApp: Use an approved template (e.g., an order status update). This counts as reaching out and starts a new 24-hour window.
  • Instagram/Messenger: Message freely anytime.

Scenario 2: Follow-Up After Window Closes

A customer messaged you on day 1, but you didn't reply. Now it's day 3 and the window is closed.

  • WhatsApp: Send an approved template (e.g., a customer support template). This reopens the window and lets you send free text after that.
  • Instagram/Messenger: Message freely.

Scenario 3: Promotional Campaign

You want to send a promotional message to many customers.

  • WhatsApp: Use an approved promotional template for each customer whose window is closed. Templates cost more but are the only way to reach inactive customers.
  • Instagram/Messenger: Use a template or free-text message.

Template Costs

When you use an approved template after the window closes, Meta charges a notification fee per message. Costs vary by country and message type. See Meta's pricing documentation for your region.

Checking Window Status

The window state badge on each conversation shows at a glance:

Badge Meaning Action
Open (green) Can send free text Reply immediately or later; you have time
Closing (orange) Window closing in < 60 minutes Reply soon or prepare a template
Closed (gray) Only templates allowed Send an approved template to reopen
Closed - No Escape (red) Can't reopen window Use templates, but customer may not see them

Tips for Window Management

  1. Reply quickly to WhatsApp messages to stay within the window
  2. Use templates strategically for proactive outreach (order updates, reminders) instead of waiting for customers to message first
  3. Monitor the "Closing" badge — when you see orange, prioritize replying
  4. Create template-friendly campaigns for customers in closed windows (e.g., delivery notifications, payment reminders)
  5. Don't rely on free text after 24 hours — always prepare approved templates for important outreach

Instagram & Messenger

Instagram and Messenger don't have strict messaging windows like WhatsApp. You can send messages anytime:

  • To customers you've already messaged
  • To new customers (though new messages may land in a "Message Requests" folder)

However, Meta still monitors for spam and abuse. Follow these best practices:

  • Only message customers who opted in
  • Avoid sending repeated messages if customers don't respond
  • Use templates for official communications (order updates, receipts)

Why Messaging Windows Exist

Meta's messaging windows and template requirements serve two purposes:

  1. Prevent spam — Restricts unsolicited marketing messages
  2. Protect users — Ensures customers aren't overwhelmed with notifications

Following these rules keeps your account in good standing and your messages more likely to be delivered.
